Automatic ABN checks on forwarded invoices: Invoices that don't match the Australian Business Register are held before anyone pays them.

Invoice checks that catch problems early

This week is about catching problems early and getting invoices and claims through faster. Forwarded invoices are now checked against the Australian Business Register, accounts payable approval happens in one step, and head contract claims can be entered by quantity. BIM models open in the new Plexa Viewer, two people editing the same site diary can no longer overwrite each other’s work, and project mail gets response types such as Notice of Delay.

A site manager checking an Apple Watch on site, next to the Plexa watch app showing today’s attendance, open observations and open defects

Easier inductions for every worker on site

Getting workers through induction is now simpler, and Plexa is now on your Apple Watch. Induction and visitor forms appear in the language set on the worker’s phone, and returning workers are matched to their existing profile. In the Plexa app you can check today’s attendance and open defects from your wrist, export the site diary as a PDF and record delays in a new delay register. You can also find companies by trading name or ABN, and capture your own details on every project and every defect.

Drawings that travel with the contract: Add drawings while you build a contract. Signers get a schedule with links, not one huge file.

Less chasing on contracts, incidents and invoices

This week is about cutting the follow-up work that slows projects down. Contracts now go out with their drawings attached, and a declined contract can be corrected and reissued without starting again. Incidents and injuries move through clear stages until they’re closed, and when an invoice is held you’ll see exactly why and can open it straight from the alert.

Compare up to 25 drawings at once: Select PDFs and Plexa compares each with its previous revision, with a summary of changes.

Review drawing changes across a whole set

Keeping up with drawing revisions takes time. You can now compare a whole set of revised drawings against their previous versions in one go, with a visual overlay of what changed. Early design work gets its own shared space away from formal document control, and you can raise a variation straight from the drawing you’re reviewing, with your markups attached.

QR codes for every room, level or unit: Print a defect QR poster for any location. Scanning it opens the form with the location filled in.

Less admin for defects, reminders and training

Less time on the admin that keeps a site compliant. Put QR codes in each room, level or unit so defects are reported in the right place first time. Set routine bulletins to repeat on their own schedule, and add your own questions to training so you can see that workers understood it, not just that they watched it.

Contract departures tracked inside the tender: Proposed clause changes, comments and agreed wording, all in one register.

Tighter control over permits, tenders and registers

More control over the paperwork that carries risk. Daily permits can no longer run past the day they start, and proposed changes to subcontract clauses are tracked in one register inside the tender, with comments from both sides. You can also put related trades in one tender, bring defects in from a spreadsheet, and export registers that are ready to share.
